Job Title: Marketing and Events Coordinator

We are seeking a Marketing and Events Coordinator who shares these values and thrives at the intersection of creativity and organization. This role is essential in bringing CPYB’s story to life through events, campaigns, and communications that engage our families, inspire our community, and strengthen support for our mission. 

Core Responsibilities  

Event Management & Coordination  

• Oversee logistics for events such as fundraising galas, performances, donor receptions, and community engagement initiatives. 
• Manage vendor relationships with venues, caterers, AV providers, and other partners to ensure a seamless experience. 
• Assist with building and tracking event budgets to balance impact with responsibility. 
• Serve as the on-site point person during events, handling setup, registration, and troubleshooting with grace and calm under pressure. 
• Collect and analyze post-event data, including attendee feedback and key performance metrics, to inform future strategies. 

Marketing & Promotion  

• Create engaging and thoughtful marketing materials, from flyers and graphics to signage and digital content. 
• Execute marketing campaigns across multiple platforms — including email (Mailchimp, Constant Contact) and digital content. 
• Ensure brand alignment by keeping all messaging and visuals consistent with CPYB’s voice and values. 
• Support small scale website updates related to events and campaigns, including registration and ticketing pages. 
• Draft and edit press releases and media communications to broaden CPYB’s reach and visibility. 

Collaboration & Administrative Support  

• Work closely with leadership, development, and operations teams to align both marketing and events with organizational priorities. 
• Maintain accurate and organized records, databases, and contact lists for events and communications. 
• Use project management tools (Asana, Microsoft To Do, etc.) to track timelines, tasks, and progress. 

Qualifications & Skills  

Preferred Qualifications  

• 1–3 years of professional or internship experience in marketing, communications, or event coordination. 
• Familiarity with marketing/event tools such as Asana, Mailchimp, Canva, Adobe Creative Suite, and Salesforce (or similar CRM). 

Essential Skills  

• Highly organized, detail-oriented, and able to manage multiple projects at once. 
• Excellent communication skills with high energy and a commitment to serve — clear, direct, and empathetic in both writing and conversation. 
• A collaborative spirit, eager to build trust and work across departments. 
• Creative problem-solver who can adapt quickly when challenges arise. 
• Willingness to work evenings and weekends to support events.
