We're hiring a Workshop Coordinator for a personal development and coaching organization that delivers executive-level workshops nationwide. This is a hands-on, travel-based role perfect for someone who thrives in logistics, admin, and high-energy environments. Why This Role Stands Out Own the Experience - Oversee all workshop logistics, including hotel access, registration, materials handling, and supporting the speaker and sales team. You're the onsite anchor from setup to closeout.
Be the Bridge - Serve as the friendly, assertive liaison between guests, strategists, hotel staff, and vendors. Redirect questions, anticipate needs, and keep things running smoothly with warmth and confidence.
Travel Consistently - Travel for 3 out of 4 weeks each month, typically Tuesday-Friday or Wednesday -Saturday, depending on workshop scheduling. You'll fly in the day before the event begins and stay through the last day.
Support with Heart - During events, you'll assist with setup, registration, speaker care (yes, that includes water and encouragement), and customer service for guests.
Key Responsibilities - Coordinate all event logistics including hotel and event space access, travel planning, and vendor communication.
- Prepare and ship workshop materials (handouts, kits, name tags) and maintain inventory across events.
- Manage registration, check-in, and maintain accurate attendee data in CRM and tracking sheets.
- Provide direct on-site support to Strategists and the Speaker, ensuring they are fully prepared and supported.
- Act as a high-touch customer service representative to executive clients during workshops.
- Coordinate consultation schedules and assist Strategists with pre-event preparation.
- Complete light administrative work after events; ownership of the process is essential.
- Travel with or manage materials between events, including occasional carrying/lifting (luggage expenses covered).
Ideal Candidate - Strong administrative and logistical coordination skills.
- Professional, bubbly, and assertive-able to redirect, support, and guide with ease.
- Experience in event operations, customer service, or sales support is highly preferred.
- High emotional intelligence and ability to anticipate team needs (especially for speakers).
- Open to frequent travel (3 weeks on, 1 week off) and physical aspects of event setup.
- Remote-based, ideally near a major airport hub for efficient workshop travel.
- Comfortable working under pressure and in fast-paced event environments.
Compensation and Schedule - Per Event Pay:
- $1,500 per event during training
- $1,800 per event after training
- Travel Schedule:
- 3 weeks per month (out of town for 4 days at a time, including travel day)
- Event setup the day before workshop begins
- Remote Role: Must live near a major U.S. airport
