Administrative Assistant

Schedule: 10:00 AM - 6:00 PM (Flexible, Full-Time, On-Site)
Pay Rate: $27.00-$28.00 per hour, depending on experience
Location: Teaneck, NJ

Position Overview

We are seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive support to our operations and office management team. The ideal candidate will be highly organized, efficient, and capable of handling multiple priorities in a fast-paced environment. This role plays a key part in maintaining smooth daily operations, supporting both office and field personnel, and ensuring compliance with company standards.

Key Responsibilities

Account & Database Management

  • Set up and maintain new accounts in the routing database, ensuring accuracy and timely updates.

  • Track, update, and organize the customer key system (approximately 100 accounts).

  • Maintain accurate records in customer databases and prepare related reports as needed.

Communication & Coordination

  • Distribute notes, memos, and updates to drivers regarding new accounts, product changes, and service requirements.

  • Serve as a point of contact between drivers, management, and clients to ensure effective communication and issue resolution.

Office Management & Support

  • Oversee day-to-day administrative operations, ensuring the office remains well-organized and fully supplied.

  • Order and manage office supplies and coordinate regular drinking water deliveries.

  • Support general maintenance requests and assist in scheduling on-site services or vendors as needed.

Staff & Vendor Management

  • Supervise cleaning and sanitation staff, reviewing performance, verifying completed work, and processing invoices.

  • Collaborate with vendors to ensure timely delivery of services and materials.

Compliance & Safety Support

  • Assist in maintaining compliance with DOT (Department of Transportation) requirements and company safety protocols.

  • Monitor and restock first aid kits, ensuring all locations remain safety compliant.

  • Help maintain accurate documentation for inspections, audits, and internal compliance reviews.

Skills & Qualifications

  • Experience: Minimum of 4+ years in an administrative, office management, or operations support role.

  • Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, and Excel, including basic formulas and data entry).

  • Communication: Excellent verbal and written communication skills with a professional and friendly demeanor.

  • Organization: Strong attention to detail, exceptional time management, and the ability to handle multiple priorities efficiently.

  • Problem Solving: Resourceful and adaptable, with the ability to anticipate needs and proactively address potential issues.

  • Preferred: Experience in compliance, logistics, or safety-related administrative tasks.
